When you use Conxnext, we collect the following types of information:
- Account Information: Name, email address, and role when you register or are invited.
- Check-In Data: Vendor name, timestamp, property address, and action (check-in/check-out).
- Location Data: GPS coordinates captured at the time of check-in or check-out.
- Photos: Images uploaded by vendors during the check-in/check-out process.

- Device & Usage Data: Browser type, IP address, and general usage patterns to help us maintain and improve the Service.
2. How We Use Your Information
We use the information we collect to:
- Provide and operate the Conxnext platform.
- Enable companies to track and manage vendor access to their properties.
- Generate activity logs and audit trails for company administrators.
- Improve and develop the Service.
- Respond to demo requests and communicate with potential customers.
- Detect, prevent, and address technical issues or security incidents.
3. Location Data
Conxnext requests access to your device's GPS location during check-in and check-out. This data is:
- Collected only at the time of submitting a check-in or check-out action.
- Stored as part of the activity log and visible to company administrators.
- Not shared with third parties outside the company that manages the property.
- Voluntary — the app can still be used if location permission is denied, but GPS data will not be recorded.
By using the check-in feature, you consent to the collection and storage of your GPS coordinates. Conxnext is not responsible for how company administrators use or retain this location data.
4. Photos
Photos uploaded during check-in or check-out are stored securely and are accessible to the company administrators managing that property. Photos are used solely for property access verification and are not shared publicly or with unrelated third parties. By uploading a photo, you consent to its storage and review by authorized administrators.
5. Data Sharing
We do not sell your personal information. We may share data only in the following circumstances:
- Within your company: Activity logs and check-in data are shared with authorized company administrators.
- Service providers: We may use third-party services to operate the platform (e.g., hosting, email delivery, analytics). These providers are bound by confidentiality obligations and are not permitted to use your data for their own purposes.
- Legal requirements: We may disclose information if required by law, court order, or to protect the rights, property, or safety of Conxnext, our users, or the public.
- Business transfers: In the event of a merger, acquisition, or sale of assets, your data may be transferred as part of that transaction.
6. Data Retention
We retain activity logs, photos, and check-in data as long as the associated company account is active. Company administrators may delete properties and associated records at any time through the admin dashboard. If you wish to have your personal data removed, please contact us and we will make reasonable efforts to accommodate your request, subject to legal and operational obligations.
7. Security
We implement industry-standard security measures to protect your information, including encrypted data transmission and access controls. However, no method of transmission over the internet or electronic storage is 100% secure. We cannot guarantee absolute security. We encourage you to protect your PINs and account credentials and immediately report any suspected unauthorized access.
Conxnext shall not be liable for any unauthorized access to, disclosure of, or loss of your data resulting from circumstances beyond our reasonable control.
8. Children's Privacy
Conxnext is not intended for use by individuals under the age of 18. We do not knowingly collect personal information from minors. If we become aware that a minor has provided us with personal information, we will take steps to delete such information promptly.
9. Your Rights
Depending on your location, you may have certain rights regarding your personal data, including:
- The right to access the personal data we hold about you.
- The right to request correction of inaccurate data.
- The right to request deletion of your data, subject to legal obligations.
- The right to opt out of certain data uses.
To exercise any of these rights, please contact us through the Conxnext website. We will respond to requests within a reasonable timeframe.

11. Limitation of Liability
This Privacy Policy describes our data practices and does not expand any warranties or create any additional rights beyond what is set forth in our Terms and Conditions. Conxnext shall not be liable for any damages resulting from unauthorized access to data, data breaches, or any other privacy-related incidents beyond our direct control. Please review our Terms and Conditions for full liability limitations.
12. Changes to This Policy
We may update this Privacy Policy from time to time at our sole discretion. We will notify users of significant changes by updating the date at the top of this page. Continued use of the Service after changes constitutes your acceptance of the updated policy. It is your responsibility to review this policy periodically.
13. SMS Communications
When you request vendor access or register as a vendor with Conxnext, you may be asked to provide a mobile phone number on the vendor request-access form. By checking the SMS consent box on that form and submitting your request, you explicitly agree (opt in) to receive text (SMS) messages from Conxnext related to your account, such as key return reminders and other operational account notifications. Consent to receive messages is not a condition of purchase. Message frequency varies based on your activity. Message and data rates may apply.
You may opt out of SMS messages at any time by replying STOP to any message you receive, after which you will receive a confirmation and no further messages unless you re-join. For help, reply HELP or contact us through the Conxnext website. Carriers are not liable for delayed or undelivered messages.
We do not sell, share, or distribute your mobile information and messaging consent with third parties or affiliates for marketing or promotional purposes. Mobile information, including phone numbers and messaging consent, will not be shared with third parties or affiliates for marketing or promotional purposes. Phone numbers provided for SMS communications are used solely to deliver account-related notifications described above. All other personal information shared in the course of operating the Service is governed by Section 5 (Data Sharing) and is never used for marketing or promotional purposes.
